Talking to each other

We do a lot of talking at the UKAWP – yes you can’t shut us up. From talking to students, new planners, established planners and talking to each other, the directors simply love talking about the world of wedding planning.

I had an opportunity recently to meet up with a planner based in Hong Kong who happened to be in London on vacation mainly but wanted to meet and gain some knowledge on the UK wedding market, particularly as many of her clients are organising a Western style wedding in South East Asia. It was a great experience and one which I highly recommend.

It was a great pleasure talking to Sonya Yeung of Bliss Creations about the style of weddings, style of venues, cost of weddings, profile of planners, ways of charging, number of clients and the state of the planning market in her region in general – it was a fascinating hour in which we both learnt lots and came away with new contacts which could be useful in future. As planners operating in a very cosmopolitan country such as the UK, you never know where that next client is coming from and where you might need to draw on experts who can give some advice to help you along the way.

On that basis, we’re introducing a section on ‘international weddings’ onto the blog over the coming months whereby we’ll get experts in weddings in certain countries to share their tips on the way weddings work there. If you are an expert in non-UK weddings, do get in touch and we’d love to interview you.

Scam/Hoax emails

We are still being flooded with hoax emails. We could post a new one each day but prefer to do it every few weeks instead! So below is another one to be aware of.

I am contacting you with respect to my sister\’s wedding( Julian George)scheduled to hold on the 22nd August,2009.

I want you to handle the wedding arrangements on their behalf since our would-be son in law,Mister Alex is a citizen of your country and as a result, i need the blessing ceremony,reception and wedding reception party to be held in your country. Please get back to me with any of the services which you can provide as regards the wedding arrangement of my younger Sister.

Preston Bailey: Inspirations

When my Mum went to America at the end of 2008 I begged her to bring back some US bridal magazines but also gave specific instructions to get me ‘Preston Bailey, Inspirations. For those that do not know he is a celebrity event designer in the US renowned for his elaborate floral creations. She duly returned home with said book moaning somewhat by the size (and price) of it. But boy was it worth every penny to see inside the mind of this amazing designer.

The book starts with his introduction ‘Sometimes it’s as easy as taking a breath. Inspiration can come from anywhere. It can come at any time‘ I for one can relate to that, I have been in the most obscure places when suddenly a flash of inspiration comes to me for a clients wedding, I could be on holiday, talking with friends or just watching a film but when it comes I take note and write my ideas down.

The chapters within the book are listed below and should give you an understanding of how varied his designs are.

The combination of his floral displays, exquisite table linen and lighting make the designs inspirational. Whenever I look at American receptions I get a little jealous over the choice of linen available whereas we only seem to have plain, brocade or Milan stripe! The variety of linen is just astonishing and really finishes his designs perfectly.

If you are looking for a book to inspire you with an event you are organising then you really cant go wrong with this book, it truly is inspirational.

Why did you become a wedding planner?

I’m originally a biological scientist and was working at a large pharmaceutical company, but I wasn’t satisfied with the corporate, target-driven environment. After planning my own wedding 3 years previously I realised that I am very passionate about weddings, and loved the organisation and logistical planning that is necessary for this type of event.

I spent about 12 months researching the industry, during which time I trained with the UKAWP and assisted other wedding planners. When I was made redundant, it seemed the perfect opportunity to launch my own company and do what I really love.

What’s your signature dish?

I don’t have a signature dish as such, as I strongly believe in creating events that reflect the personalities of each client. I’m always looking for new ideas and designs, and finding those suppliers who are willing to do that little bit extra to make a client’s day absolutely perfect.

Do you have a favourite venue?

I don’t have a particular favourite, as I’m researching and discovering new venues all the time. I have to admit that I do love romantic venues with lots of history - I just love walking into a room with fabulous architecture, plush furnishings and decadent chandeliers. However, I equally love those venues that are a blank canvas, and are really flexible for the client to create their own unique celebration.

How do you unwind?

A long walk over the meadows with the dog always helps clear my head. Otherwise it’s a glass of cider on the patio in the sunshine!

If you could plan a celebrity wedding (alive or dead) whose would it be?

I’d love to plan a royal wedding! I love all the pageantry and tradition, and the logistics of organising the event would be a great challenge. It would, however, probably give me a nervous breakdown!

Which wedding planner’s work do you respect/admire and why

I admire planners that have been in business for several years, but are still as passionate about their work as when they first started and continue to create stunning events. In particular, I have a lot of respect for those planners that are willing to help newcomers to the industry. It’s very difficult when you first start out, so having people that are willing to offer advice and support makes a huge difference. Before I launched my business I helped Zoe Lingard at two of her weddings - it was an invaluable experience, and I really appreciated the opportunity to work directly with an experienced planner.

What is your vice?

Chocolate, biscuits and tea, preferably all together! Oh, and tiramisu!

Having a marketing plan

Those of you that attended WPE will remember Action Coach who gave a brilliant talk on improving our businesses. One of the coaches Ray Hutchin has kindly agreed to be a regular guest blogger. Today he talks about your marketing plan, do you have one? As my coach I can vouch the benefits of putting your marketing plan down on paper and sticking to it.

It is very interesting when I speak to business owners regarding Marketing Plans for their business, most do not have a written one. So why is it important to have a written marketing plan? Well there are a few reasons including:-

  • a) Most things are achieved quicker with a plan (if it is followed)
  • b) You will know where you are and what you should be doing (therefore more chance of you actually doing it)
  • c) The plan in future should only need fine tuning (not completely rewriting) therefore planning and making things happen in the future will be easier
  • d) It will give you focus
  • e) You will make more money

I was talking to a client only yesterday and discussing him implementing a marketing plan and we worked out some figures for him, which actually left him speechless. So for your benefit the exercise with him went something like this after some discussion around the plan:-

Coach “So if we implement a telesales marketing campaign and put a process in place as we have discussed, so that we send out 100 flyers a week and contact those people the following week. We expect to be able to speak to about 30 businesses a week and to be able to arrange 5 face to face meetings a week to discuss your product and services. You also expect to be able to convert 2 of those to clients a week (only a conversion rate of 40% which is low for you)

Client “yes coach we will do that”

Coach “so what do you think that will mean to your business”

Client “well an increase in profits, so that we can continue to grow and develop the business”

Coach “any idea of how much more business and profit?”

Client “a few thousand!”

Coach “well, let’s work it out, So if we sign up two new clients a week for the first year the average will be say 50 new clients for the year (2 the first week and 104 the last week), so what is your client average spend per week and your Gross Profit percentage?”

Client “Average spend is £100 a week and we make 14% Gross Profit on average”

Coach “ok so if we have an average of 100 new clients for the year spending £100 a week and you are making 14% GP that gives us - 50 new clients times 50 weeks, times £100 average spend, which gives us an increase in turnover of £250,000″

Client “you sure you got those sums right?”

Coach (hands calculator to client) I think so, you work it out

Client “wow, and that is only one strategy”

Coach ” and that is without working on increasing the conversion rate or the average spend etc, etc, but bear in mind that not all of the new client will stay with you for the whole year”

Client “but I am sure any I lose I can replace”

Coach “now work out the extra Gross Profit”

Client “Wow, that’s an extra £35,000″

So by introducing one new marketing strategy and doing it every week great results can be achieved. However, most people don’t do this, they have a big splurge and then get too busy with the extra work to carry on the marketing and then only do it when things go quiet again. Marketing needs to be done week in week out and monitored (test and measured) and fine tuned and new strategies added as and when necessary. Small changes equal big results. I would love to hear of any small changes that you have made in your business, that has given you huge results.

Behind every great planner is a great team

When we run our training courses we try to emphasise with students how important it is to vet our suppliers and build a great team to work with. After all, it doesn’t matter how good you are as a planner, it the suppliers aren’t as good as they should be the end result could be disastrous. I was working at a wedding recently when I took a moment to reflect, the majority of the suppliers there were ones I have worked with on numerous occasions over the last 7 years. In fact I realised the caterers, photographer, florist, marquee, band, entertainment and some of the transport had been booked by me before in the past. It meant we worked incredibly well as a team, we knew what each person was thinking and expecting. Not only is this good for the bride and groom, far better for their suppliers to work together instead of against each other but it also means if you need help with a query there is always someone to help. For example at another event in April there were not enough power extension & converters, I was able to contact the marquee company and collect some of theirs to use free of charge. Problem solved quickly and efficiently. I also remember last year when a cake collapsed, with the florist we were able to disguise the disaster with well placed flowers so the bride never knew what happened.

I do think it’s important to never take a supplier for granted, I send feedback questionnaires to every supplier after an event to see if there was anything I could do better next time. I offer a referral scheme to suppliers and constantly let them know they are appreciated, after all I know that without my team I am nobody. Do you have a good team behind you?

Business Tools

At WPE’09 so many planners commented to me that they wished there was more out there for planners already trading and thus I just wanted to take the opportunity to draw attention to the business tools which are available for purchase. To date we have two business contracts suitable for wedding planning businesses available for purchase, one for use with clients, one for use with ad-hoc/freelance events staff. Additionally we offer a mentoring service involving face to face meetings and reviews with an experienced planner to those businesses trading for less than 2 years.

Increasing Your Knowledge

As wedding planners I am quite sure you research for trends in suppliers and designs, you probably buy various wedding books and magazines but how many of you put the same effort into your business knowledge? Least we forget we are all running a business, it just happens to be in the wedding industry. In theory if you learn to run one business well you can manage any business. Just think of Richard Branson, planes, trains and music are not exactly similar industries?

I put aside 3 hours per week, normally the evenings and weekends to read a variety of business related books because this is the area I want to improve in. For me I want to improve and expand Dream Occasions and the UKAWP, I need to therefore learn about all the different aspects of running a business. In a large corporation you have directors in charge of sales, marketing, HR, finance but when working for yourself you have to learn to be competent in all these areas as well as planning your clients weddings.

All true successful entrepreneurs thrive on knowledge, they always want to know everything to do with their businesses thus ensuring they know more then the next person. So how can you do the same and what should you read? Everyone is different so what works for one person will not for the next. I have listed books I have read so far and in due course I will write a review on them, most can be bought via Amazon.

However, I do know of lots of people that loved this book so do give it a try. Alternatively if reading is not for you why not download audio clips for your ipod? If you are not so keen to read up on business books why not increase your knowledge in other areas? For example:

Learning a new language - opens up the possibility of organising weddings abroad

Interior design - allows you to become more creative with an understanding of fabric styles, colours or how to make your own design items

SEO or website design - gives you the chance to fully understand how websites work and why SEO is so important

Floral Design - why not attend a workshop run by one of the many florists across the UK so you understand how a bouquet or buttonhole is made. Ideal for making emergency ones on the wedding day.

So if you make just one change this year make it ‘increasing your knowledge’
